Clients review and acknowledge this policy when they enroll. If you have a cancellation request, billing concern, or unusual circumstance, contact us directly at info@chironsportsperformance.com. Each situation is reviewed individually.
Chiron memberships begin with a 12-month initial commitment. Monthly membership fees reserve ongoing access, scheduling capacity, staffing, programming, and membership benefits. The monthly fee is not based solely on the number of visits an athlete uses during a particular month.
The membership remains active, and regular monthly payments remain due, throughout the initial term unless it ends under Chiron's cancellation policy, an approved documented-hardship exception, Chiron's written termination, or applicable law.
A member may request an any-reason cancellation during the initial membership term by providing Chiron with at least 60 calendar days' written notice by email.
The notice period begins on the date Chiron receives a complete cancellation email and sends an acknowledgment of receipt. Regular membership payments will continue on their normal billing dates during the 60-day notice period. The athlete will continue to have normal membership access during that period, provided the account remains current.
The 60-day notice period is not an additional cancellation fee or buyout charge. It is the final period of paid membership access.
The cancellation email must include:
Chiron will provide written confirmation of the date the request was received, the effective membership end date, and any remaining scheduled payments.
Verbal notice to a staff member, nonattendance, removal of a payment method, revocation of a recurring-payment authorization, stopping payment, or filing a chargeback does not independently cancel a membership.
Any outstanding balance remains due after cancellation.

Chiron may consider shortening or waiving the standard notice period in limited, documented circumstances, including:
Hardship exceptions are reviewed individually and are not automatically approved. Chiron may request reasonable supporting documentation.
Fees already earned for completed services, assessments, onboarding, membership access, or other work already performed remain subject to the refund provisions below.
A temporary medical condition expected to prevent participation for at least 30 days may qualify for a medical freeze instead of cancellation.
An approved medical freeze will ordinarily last between 30 and 90 days. Unless the written approval states otherwise:
Medical-freeze requests require reasonable documentation. Chiron will not require disclosure of a diagnosis beyond what is reasonably necessary to confirm the expected inability to participate.
Sports seasons, vacations, school schedules, travel, and other routine scheduling changes are handled through the Flex Bank and do not ordinarily qualify for a medical freeze.
No freeze is approved until Chiron confirms the terms in writing.
Chiron reserves staff time, facility space, and equipment for scheduled appointments.
Clients must provide at least 24 hours' notice to cancel or reschedule an appointment without a late-cancellation consequence.
For membership visits:
For one-time services:
Repeated late cancellations or missed appointments may result in limited advance booking, same-day scheduling only, prepayment requirements, or suspension of scheduling privileges.
Arriving late does not extend the scheduled appointment time.
Chiron may shorten the appointment when the remaining time is sufficient to provide the service safely and effectively. If there is not enough time to complete the scheduled service, the appointment may need to be rescheduled and may be treated as a late cancellation.
Athletes should not attend while contagious or when participation may be unsafe.
Clients should contact Chiron as soon as possible before the scheduled appointment. Chiron may waive a late-cancellation consequence or move an eligible visit to the Flex Bank when an acute illness, documented emergency, or circumstance outside the client's reasonable control prevents attendance.
An exception in one instance does not automatically change the policy for future appointments.
If Chiron cancels a scheduled appointment, the appointment will not count as a no-show or used visit.
Depending on the circumstances, Chiron may:
The Flex Bank allows members to move a limited number of included visits from lower-use weeks into later weeks. It is intended to help with sports seasons, school demands, family travel, illness, and other normal scheduling changes.
The applicable Flex Bank allowance is listed in the member's enrollment agreement or selected membership plan.
A visit ordinarily becomes eligible for the Flex Bank when:

The responsible payer agrees to pay the membership fee on the billing date stated in the enrollment agreement.
If a scheduled payment fails, Chiron may notify the responsible payer and retry the authorized payment method during a seven-calendar-day grace period.
Beginning on day eight, Chiron may pause scheduling and nonemergency membership services until the account is current.
A payment-related service pause does not automatically pause the membership term, monthly billing, or expiration of time-sensitive membership benefits.
An ACH or check payment returned unpaid may be assessed one $25 returned-payment fee when permitted by law and authorized by the responsible payer. An ordinary card decline does not automatically create this fee.
If an account remains unpaid for 30 days, Chiron may terminate the membership in writing and pursue amounts already due, subject to applicable law.
The responsible payer must keep all payment and contact information current.
Except when required by law or approved by Chiron under this policy, payments are nonrefundable once the related service, work, membership time, or access has been provided or earned.

Chiron may consider a refund, correction, reschedule, or account credit in limited circumstances, including:
Submitting a concern does not guarantee a refund. Chiron will review the signed agreement, account records, services already provided, and the specific circumstances.
Approved refunds will ordinarily be returned to the original payment method. Chiron will aim to initiate an approved refund within 10 business days after approval, although financial-institution processing time may follow.

Chiron may request additional information before completing its review.
Submitting a billing concern or refund request does not cancel the membership. A cancellation must separately comply with the Membership Cancellation section of this policy.
Clients should contact Chiron promptly with a billing concern so that Chiron can investigate the account and provide relevant records.
Filing a chargeback does not independently cancel a membership or determine whether a contractual balance remains due.
Nothing in this policy limits a client's right to dispute an erroneous or unauthorized charge or exercise another nonwaivable consumer right.
Chiron may adjust facility hours, providers, programming, equipment, visit format, or scheduling when reasonably necessary for safety, staffing, maintenance, holidays, weather, clinical judgment, or business operations.
When Chiron cancels a scheduled service, Chiron will provide an appropriate reschedule, restored visit, Flex Bank adjustment, or account credit.
If Chiron permanently closes or cannot provide a material unused prepaid service, Chiron will provide an appropriate substitute, account credit, reschedule, or prorated refund as required by the circumstances and applicable law.
The adult responsible payer who signs the agreement is responsible for the charges described in the membership agreement and this policy, whether or not that individual is the athlete's parent or legal guardian.
For a minor athlete, the parent or guardian confirms that they have authority to enroll the athlete and make scheduling and financial decisions.
Private reimbursement arrangements, custody arrangements, or promises by another person do not change the responsible payer's obligations unless Chiron agrees in writing.
This policy supplements the member's signed enrollment agreement and Chiron's medical, consent, privacy, safety, and conduct documents.
If there is a conflict, the signed agreement and any applicable law will control.
